Position Title: EXECUTIVE ASSISTANT
Reporting Line: CEO, Commercial Club of Africa (CCA)
Location: Nairobi, Kenya
Gross Salary: Ksh 50,000/ – 55,000

JOB SUMMARY
CCA seeks to recruit an Executive Assistant to the CEO who will play a pivotal role in
managing projects, events, and administrative tasks to support the organization’s growth. The Executive Assistant will be the CEO’s right hand person, managing key organizational priorities and ensuring smooth operations. This is a dynamic role requiring exceptional organizational skills, adaptability, and a proactive approach to problem-solving in a startup environment.
Key responsibilities
1. Project Management
o Oversee and coordinate key projects to ensure timely execution and delivery.
o Develop project plans, track progress, and provide updates to the CEO.
o Liaise with stakeholders to ensure alignment on objectives and outcomes.
2. Events Management
o Plan and execute high-profile events, meetings, and gatherings for Association.
o Manage event logistics, including venue selection, invitations, and guest
coordination.
o Ensure all events align with Association’s mission and standards of excellence.
3. Budget Management
o Assist in preparing and tracking budgets for projects, events, and operational
expenses.
o Maintain records of expenditures and ensure alignment with financial goals.
o Identify cost-saving opportunities without compromising quality.
4. Network Building and Database Management
o Develop and maintain a comprehensive database of key contacts, stakeholders,
and members.
o Foster relationships with partners, sponsors, and collaborators on behalf of the CEO.
o Support the growth of Association’s network by identifying and connecting with
strategic partners.
5. Research and Reporting
o Conduct research to support strategic decision-making and organizational development.
o Compile reports, presentations, and briefs for internal and external stakeholders.
o Stay updated on industry trends and best practices relevant to Association’s
mission.
6. Calendars and Schedules
o Manage the CEO’s calendar, appointments, and travel plans.
o Coordinate meetings and ensure timely follow-up on action items.
o Act as the gatekeeper for the CEO’s time, prioritizing tasks effectively
Academic and professional qualifications
1. Proven experience in project management, events management, or as an Executive
Assistant in a high-paced environment.
2. Strong organizational skills with the ability to juggle multiple priorities.
3. Proficiency in office tools (e.g., MS Office, Google Workspace) and database
management.
4. Financial acumen with experience in budget planning and tracking.
5. Excellent written and verbal communication skills.
6. Proactive and resourceful, with the ability to anticipate needs and solve problems
independently.
7. Familiarity with the African business landscape is highly desirable
